How to integrate Expensemate with Quickbooks

Uploading transaction data into your accounting package enables you to leverage some of the key benefits of using Expensemate, such as optimised VAT reclaims and simplified, diligent bookkeeping. 

In this article, we look at the steps you need to take to prepare and import your transaction data into Quickbooks. 

What you need to do before you start

  • Export your transaction data

Upload your transaction data into your Quickbooks account

  • From within your Quickbooks account, go to Settings then select Import Data, and then click Bills.
  • Once you have all the mandatory fields, select Browse, then select your CSV file, click Open, followed by Next.
  •  If you would like to auto-create suppliers, select the checkbox beside Add new suppliers that don't already exist in QuickBooks.
  • Select the date format you have used, e.g. DD/MM/YYYY.
  • Select your VAT option: Exclusive or Inclusive.
  • On the final mapping page, map your VAT codes to those of QuickBooks Online, then select Next. Any mapping issues will be highlighted so you can go back and resolve them.
  • When you are setting up you will see a summary of your import. Select Start Import to begin.

Once completed, an import summary will be displayed. Note any bills that did not import and why. When you are ready, select Done and you will see a final completion summary.
