Card control using the portal

Learn how to control your team's cards from the management portal

Inevitably, your staff will occasionally misplace their Expensemate card leaving you as an organisation potentially at risk. You can use the Expensemate portal to mitigate that risk by placing either a temporary freeze on the card until you find it again (maybe your employee is out on site and the card is in the van or back at home) or cancel it altogether if you know it’s either lost or stolen. In this article, you learn how to do this.

Place a temporary block on the card

If a card is lost this feature enables you to temporarily block a card until you relocate it. To access this feature, login to the Expensemate home screen and follow the steps outlined below:

  • Click on Users on the left-hand side of the screen.
  • Click on Cardholders on the left-hand side of the screen.
  • Click on the name of the relevant cardholder.
  • Click the Block/Unblock Card button.
  • Click the red Block Card button.

No purchases can be made on the card whilst the block is in place, but this is not permanent and can be reversed at any time.

Having opted for a Temporary Block of the card, you have the option of unfreezing the card as and when the card is relocated. In this instance, follow these steps:

  • Click on Users on the left-hand side of the screen.
  • Click on Cardholders on the left-hand side of the screen.
  • Click on the name of the relevant cardholder.
  • Click the Block/Unblock Card button.
  • Click the red Reinstate Card button.

The card is now ready to use again.

Cancel the card permanently

If your card is permanently lost or stolen and you want to cancel the card altogether, this can be performed on the desktop app too.

  • Click on Users on the left-hand side of the screen.
  • Click on Cardholders on the left-hand side of the screen.
  • Click on the name of the relevant cardholder.
  • Click the Cancel button.
  • Click the red Cancel Card button.

The card is now canceled and no further purchases can be made. If the card needs to be replaced, please click here to order a replacement.
